What This Does

Greenhouse is rolling out two AI agents through Q3 2026 aimed squarely at the two things that eat a recruiter's week: setting up a new requisition and answering a hiring manager's question about a candidate. The Job Kickoff Agent takes your raw intake notes and turns them into a structured job setup for you to review, instead of you typing the job description and pipeline stages by hand. The Candidate Insights Agent answers a plain-language question about a candidate ("what did the panel think of their SQL skills?") with an answer sourced directly from scorecards and notes, instead of you reopening every tab.

Before You Start

  • Because these features rolled out mid-2026 and are still reaching accounts, check with your Greenhouse admin or account rep whether they're enabled on your org's instance yet
  • AI features in Greenhouse tend to sit on higher-tier plans (Advanced and above); if you don't see either agent, ask whether your company's plan includes it before assuming it's a bug
  • You still need a fully built-out requisition and interview history for Candidate Insights to have anything to draw from; it can't answer questions about notes that were never recorded

Steps

1. Find the AI feature

Look for an agent panel or icon labeled "Job Kickoff" near where you'd normally start building a new requisition, and a similarly labeled "Candidate Insights" option on a candidate's profile page. Because Greenhouse is actively rolling these out, the exact menu location may shift between now and general availability. If you don't see either one, check Greenhouse's release notes or ask your admin rather than assuming you're looking in the wrong place.

2. Tell it what you need

For Job Kickoff, paste or upload your intake call notes, or any document a hiring manager sent you describing the role, must-haves, and comp band. For Candidate Insights, type your question in plain language, the same way you'd ask a colleague who sat in on every interview.

3. Review and use the result

Job Kickoff produces a draft job setup, job description, pipeline stages, and interview loop, that you review and edit before publishing; it's built to speed up setup, not replace your judgment on the details. Candidate Insights returns an answer with links back to the specific scorecard or note it pulled from, so you can verify the source before repeating it to a hiring manager.

Real Example

Scenario: A hiring manager pings you asking whether the second-round candidate for a Senior Data Analyst role had any concerns raised about stakeholder communication, and the four interviewers' notes are scattered across three scorecards.

What you type/do: You ask Candidate Insights: "Did any interviewer raise concerns about this candidate's communication skills?"

What you get: A short answer pulled from the actual scorecard comments, with a link to the specific note it came from, so you can quote it accurately instead of paraphrasing from memory.

Tips

  • These are new enough that public how-to documentation is still thin. If the interface doesn't match what's described here, trust what's on your screen and check Greenhouse's own help center for the current walkthrough.
  • Candidate Insights pulls from scorecards and interviewer notes, which contain PII and evaluative commentary. Keep any answer you relay to a hiring manager inside the hiring process, not forwarded elsewhere.
  • Treat Job Kickoff's draft as a first pass. Compare it against the actual intake conversation before posting, especially the comp band and must-haves, since a misread note here becomes a live job posting.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
